Applicant Privacy Notice

Who This Notice Covers

This Applicant Privacy Notice applies to individuals who apply for employment with VertiSource, Inc., doing business as VertiSource HR (“VertiSource HR,” “we,” “our”) by submitting a resume, application, or related materials to careers@vertisourcehr.com or through the job postings at vertisourcehr.com/careers.

If you are hired, VertiSource HR provides its internal employee privacy notice as part of onboarding, and that notice applies to you going forward. If you are a website visitor rather than an applicant, the Privacy Policy applies.

Client companies that use VertiSource HR services generally conduct and control their own hiring. Where VertiSource HR processes applicant or onboarding information on a client’s behalf, the client’s own applicant notice may apply to that processing, together with applicable law and the parties’ service agreement. This Notice covers people applying to work at VertiSource HR itself.

Information We Collect

What we collect depends on the role and on what you choose to provide. In general, it falls into these categories:

• Contact and identification details you provide, such as your name, email address, phone number, mailing address, and links to professional profiles;
• Application materials, such as your resume, cover letter, work history, education, credentials, and the references you provide;
• Interview and assessment records, such as notes from interviews and any skills assessments;
• Pre-employment process information. Where applicable and permitted by law, we may collect information needed for employment eligibility, background screening, reference checks, or other pre-employment processes. Required disclosures and authorizations are provided separately when applicable.

Any equal-opportunity information you choose to self-identify, such as race, ethnicity, sex, veteran status, or disability status, is voluntary, is used for recordkeeping and legally required reporting rather than to evaluate your application, and declining to provide it will not affect your application.

How We Use and Disclose Applicant Information

We use applicant information to evaluate your application for the role you applied to and for other openings, to schedule and conduct interviews and assessments, to communicate with you about your application, to make and document hiring decisions, to meet recordkeeping, reporting, and other legal obligations, and to protect the security and integrity of our systems. Final hiring decisions are made by VertiSource HR personnel.

We disclose applicant information to the VertiSource HR personnel involved in recruiting and hiring, to service providers that support our recruiting process, to screening providers where a role calls for them, to the references you provide, to government authorities and courts where required, and to our professional advisers. Careers pages and application activity are not used to build advertising audiences.

Retention and Security

We retain applicant records for as long as needed to evaluate your application and to satisfy recordkeeping obligations under federal and state law, then dispose of them securely. If you are hired, your application materials become part of your employment record. Applicant information is protected by the administrative, technical, and physical safeguards we apply to personal information generally.

Your Rights and How to Contact Us

Depending on where you live and whether the applicable law applies to VertiSource HR’s processing of your information, you may have rights over your personal information, such as rights to access, correct, or delete it. Many state consumer-privacy laws exclude some or all personal data processed in an applicant or employment context. To make a request, email HR@VertiSourceHR.com with “Applicant Privacy Request” in the subject line and include the role you applied for and the approximate date of your application. We process verified requests in accordance with applicable law, and making a request will not affect how your application is evaluated.
